Future Policy Leaders

Future Policy Leaders (FPL) is committed to providing a high-quality and professional experience for all participants attending our conferences, leadership programs, fellowships, and events.

We understand that in certain situations participants may need clarification regarding refunds. This Refund Policy outlines the terms, conditions, eligibility criteria, and limitations governing refund requests for registrations made through the official Future Policy Leaders platforms.

General Principles

  • All participants are required to review and accept the Terms & Conditions of Future Policy Leaders before completing any registration.
  • By registering for an FPL event, conference, or program, participants acknowledge and agree to this Refund Policy.
  • Approved refunds may be issued in accordance with the eligibility criteria outlined below.

Future Policy Leaders reserves the right to review refund requests in accordance with organizational policies and operational considerations.

Non-Refundable Categories


The following categories are
strictly non-refundable and non-transferable:

Application Fees


Application or processing fees submitted for programs, fellowships, or events are non-refundable.


Invitation Letter Requests


Fees paid for invitation letters issued for visa support purposes are non-refundable and non-transferable.

Future Policy Leaders provides invitation letters solely to support visa applications. Approval or denial of a visa remains the responsibility of the applicant and the relevant embassy or consulate.


Eligible Categories for Refund Requests

Participants registering under the following categories may be eligible for a refund review:

  • Self-Funded Participants
  • General Event Registration Participants
  • Conference Access Pass Participants

Refund eligibility is subject to the conditions outlined below.


Eligibility Conditions

To request a refund, the following requirements must be met:

  • The full event fee must have been paid in a single transaction.
  • Refund requests must be submitted within the eligible time period prior to the event.

Refund Request – [Event or Conference Name]

Participants must provide the following information:

  • Full Name
  • Registration or Order Number
  • Event Name
  • Reason for the Refund Request
  • Supporting documentation (if applicable)

Cancellation and Refund Timeline

The following cancellation structure applies to eligible participants:


45 Days Before Event

Full refund may be considered if cancellation is requested at least 45 days prior to the event start date.


Between 45 and 30 Days Before Event

A 25% administrative cancellation fee may apply. The remaining balance may be refunded.


Between 30 and 15 Days Before Event

A 50% cancellation fee may apply. The remaining balance may be refunded.


Less Than 14 Days Before Event

Cancellations made within 14 days of the event start date, including no-shows, are not eligible for refunds.


Installment Payments

If an event registration includes installment payments:

  • The initial installment is considered non-refundable.
  • Refund requests may not be accepted for partially paid registrations unless specifically approved by Future Policy Leaders.

Credit for Future Programs (If Applicable)

In certain circumstances, Future Policy Leaders may offer event credit that can be used toward participation in future programs or conferences.

Such credits:

  • May have an expiration period specified at the time of issuance
  • May be non-transferable
  • May only be used for Future Policy Leaders events or programs

Special Circumstances (Force Majeure)

Future Policy Leaders reserves the right to modify, postpone, or cancel events due to circumstances beyond our control. These may include but are not limited to:

  • Natural disasters
  • Government regulations or travel restrictions
  • Political instability
  • Public health emergencies or pandemics
  • Other unforeseen events

In such situations, Future Policy Leaders will make reasonable efforts to notify participants and determine appropriate solutions, which may include rescheduling events or offering participation in future programs.

Future Policy Leaders shall not be liable for any indirect costs incurred by participants, including travel, accommodation, or visa expenses.

Travel Reimbursement (If Applicable)


For participants selected under
fully funded or sponsored programs, travel reimbursement procedures will be communicated directly to the selected delegates.

Participants may be required to submit a reimbursement form along with relevant travel documentation. Processing times may vary depending on administrative procedures.

Policy Amendments


Future Policy Leaders reserves the right to update, revise, or amend this Refund Policy at any time.

Any changes will be published on the official website, and continued use of the registration system will constitute acceptance of the updated policy.
